1. Registration and Payment Policy
For the registration to be considered valid, the fee corresponding to the selected category (Academic, Public, Private Sector, etc.) must be paid in full within the specified dates. Registrations with incomplete payments will remain in "pending" status and do not grant the right to participate in the event.
2. Cancellation and Refund Policy
- For written cancellation requests submitted by August 15, 2026, a refund will be issued after deducting a 10,000 TL transaction and operation fee.
- No refunds will be issued for cancellations made after August 15, 2026.
- Refund requests must be submitted in writing to ceren.ilbira@ekspoturk.com.
3. Event Changes and Force Majeure
The organizing committee reserves the right to change session times, program flow, or the venue due to speaker availability, technical requirements, or force majeure (natural disasters, pandemics, official restrictions, etc.). In the event that the program is cancelled entirely or transitioned to a digital format instead of a physical one, your registration may be transferred to the next ECIM event at the discretion of the organization.
4. Entry and Access Security
Each registered participant will be provided with unique login credentials or a physical name badge. If it is determined that access credentials or badges are shared with third parties, the participant’s access to the event will be restricted without a refund.
5. Visual, Audio, and Intellectual Property
- Media Recording: By participating in the event, you consent to the recording of your image, voice, or questions to be used in ECIM 2026 promotional materials, social media, and academic reports.
- Content Protection: Recording congress presentations and scientific content with professional equipment or copying them for commercial purposes is prohibited without the written permission of the organization.
6. Participant Code of Conduct
All participants are expected to act with respect and courtesy toward each other, the speakers, and the organizing team. The registrations of those exhibiting inappropriate, disturbing, or offensive behavior may be cancelled without any refund.
7. Processing of Personal Data (GDPR/KVKK and Privacy)
Your name, institution, e-mail, and mobile phone details shared in the registration form are processed under Law No. 6698 (KVKK) for the purposes of managing the ECIM 2026 congress, printing badges, scientific submission processes, and communicating congress updates. Your information may be shared with congress stakeholders and (subject to your consent) sponsor companies for networking and sectoral information purposes.
8. Disclaimer of Liability
Participants acknowledge that the organization is not responsible for the loss of personal belongings, theft, or injuries resulting from their own negligence at the congress venue or during transportation. The total liability of the organization is, in any case, limited to the registration fee paid by the participant.
